Administrative & Operations Assistant

We are looking for an administrative and operations assistant for a luxury Italian  brand.

Main responsibilities

  • Registering and coordinating all the purchases/sales with the head office and with stores, ensuring a timely delivery of a good service to the clients and correct invoicing
  • Liaising with the different departments of the head office in order to make all the operations of the store work efficiently (e.g. for orders, IT solutions, company policy, prices, etc…)
  • Creating reports for the Directors about sales, sales staff’s performance, profit, stock, departments and clients
  • Liaising with suppliers (utilities, insurance, couriers, etc…), trying to negotiate for the best possible rates and solutions and making sure the service is delivered properly and correctly invoiced
  • Registering invoices, sales and expense claims and making sure all documents are archived properly
  • Reconciling bank accounts and credit cards
  • Managing petty cash
  • Organizing shipments from/to Europe and the rest of the world and all related documentation, including CITES
  • Coordinating the stock take
  • Dealing with the bank and entering payments online for Directors’ approval
  • Liaising with external accountants and auditors
  • Creating staff “ROTA” and keeping track of annual leave requests and days off in lieu

About You

  • Commercial Diploma
  • Italian speaker would be an advantage
  • Ability to profitably collaborate with the manager and the team
  • Fluency in English
  • Very good MS-Office skills
  • Ability to work accurately and efficiently
