Job description:

We are looking for an experienced and diligent administrator to work in a busy high profile department in an international auction house in London. The post holder will own the administration of sales in accordance with company policies and best practice while delivering high quality client service to ensure that sales are administered in accordance with company policy, reinforcing the need to provide exemplary client service.

Sale Administration Responsibilities:

Manage sellers and their property through pre and post-sale process, in accordance with sale administration calendars

  • Work with the Administrative team to ensure tasks are shared effectively and communication is strong in order to provide constant support, particularly during busy periods
  • Manage consignments
  • Facilitate compliant inbound shipments to meet deadlines
  • Manage contracts and terms of sale

Third Party Services and Procurement

  • Co-ordinate the movement of property internally and externally for third party services
  • Complete Purchase Order forms and obtain authorisation prior to ordering goods
  • Ensure rebillables are charged correctly and respond to Finance queries regarding department parked aged documents
  • Arrange buyer external services, in conjunction with Post Sale Services

 

Manage Departmental Inventory

  • Process non-saleable property in a timely way
  • Co-ordinate bi-annual reviews of department aged inventory and obtain recommendations
  • Complete inventory reconciliations following bi-annual stock checks to ensure accurate inventory records
  • Monitor and process House Property and Temporary Admission (TA) property on a quarterly basis

General

  • Respond to general client enquiries e.g. correspondence, phone enquiries etc
  • Maintain department filing
  • Participate in project work as requested

  • Ability to work independently and as part of a team
  • Good working knowledge of SAP, Microsoft Office particularly Word, Excel, Outlook
  • Previous administrative or relevant experience at an Auction House is desirable
