Job description:

We are looking for an energetic, collaborative, and organised Gallery Manager for an International Contemporary Gallery in Paris.

The ideal candidate will have extensive and solid experience in administrative functions. We are looking for a problem solver with a proactive and transparent approach, under the authority of the gallery director.

Duties include (but are not limited to):

  • Develop, implement, and maintain quality assurance protocols.
  • Increase the efficiency of existing processes and procedures to enhance the company’s internal capacity.
  • Maintain safe and healthy work environment by establishing, following, and enforcing standards and procedures; complying with legal regulations.
  • Operational management of General Services and the transmission of information to the accounting department.
  • Oversee gallery events, including exhibition openings, artist receptions, and special events, ensuring seamless execution and excellent visitor experience.
  • Manage gallery schedules, including staff rotations, exhibition timelines, and maintenance schedules.
  • Supervise front desk staff
  • Oversee employee leave procedures.
  • Liaison agent with suppliers.
  • Maintain accurate and up-to-date records of all expenses related to gallery supplies.
  • Coordination and management of orders across all sites.
  • Administrative management of the 3 buildings.
  • Monitoring of insurance thresholds and assessment of insurance needs.
  • Approval and proofreading of all consignment contracts.
  • Liaise with the Deputy Director regarding ongoing and future construction projects.
  • Management of security guards (schedule and contracts).

Required skills and qualifications:

  • Strong organisational, financial, project and time management skills.
  • Previous exposure/experience in an office manager role would be desirable but is not mandatory.
  • Strong Excel skills.
  • Ability to work flexible hours.
  • Great adaptability and team spirit.
