Job description:

A leading contemporary gallery in London is looking for an Archivist to join their team.

Responsibilities of the role include the following:

Database Management

  • Manage the inventory modules in the database system, including correctly and accurately creating and updating records for primary market artworks
  • Support the exhibition team by conducting research where necessary into artworks entered onto the system and recording information accurately on the database, following the company format. This includes current ownership, provenance, literature, and exhibition history research using tools including:
    • gallery database
    • Internal library / external libraries
    • Artnet / Auction catalogues
    • Online resources
  • Proactively ensure high level of accuracy for database across all categories and assess critical missing data for records and update the database
  • Responsible for managing the contact modules of the database, ensuring that new records are created accurately
  • Populate client profiles with data found and gathered, including sourcing contact details and researching bios, art collections and interests
  • Ensure that contact records are constantly updated by means of online research and managing returned mail to the gallery
  • Take on ad hoc long term archival projects where and when necessary


  • Receive photography requests from staff and liaise with registrars and technicians to book external photographers
  • Manage photographers on site ensuring that they have the correct list of works and are aware of the required images
  • Modify, reformat and resize images using Photoshop, archiving them on the database and G-drive
  • Archive hard copies of images


  • Provide ad hoc support to the exhibition team as requested

Personal profile/ Qualifications required:

  • Bachelor’s degree, preferably an art world education with an understanding and acute awareness of the key players in the field
  • At least 2 years’ experience working with a database preferably in a gallery or auction house setting
  • Knowledge of Microsoft Office as well as Adobe Create Suite (Photoshop, InDesign etc.) essential
  • Extreme discretion with confidential and sensitive information
  • Excellent research ability, and acute attention to detail
  • Ability to manage long-term projects, multi-task and prioritise
  • Strong typing and data input skills. Impeccable spelling and grammatical skills
  • Excellent communication and interpersonal skills, including superior written and spoken communication
