Job description:

We are looking for an Art Fair Manager for a contemporary gallery in London.

The ideal candidate will be a trouble shooting, pragmatic, positive person with a logistics background and the ability to multitask and manage a variety of people at different levels (e.g. technicians, shippers, internal sales team) whilst remaining calm and pro active at all times. They must have a keen attention to detail and a meticulous approach.

International travel to the fairs will be required.

Responsibilities include:

  • Preparing applications for each art fair in collaboration and consultation with Head of Programme & completing all subsequent documentation relating to the participation in the fair.
  • Chairing regular art fair meetings Director and sales teams and preparing agendas and taking minutes at the meetings.
  • Working in close collaboration with Head Registrar to obtain shipping deadlines for each fair, ensuring these are communicated to the Artist Managers and Artist Liaisons on a regular basis.
  • Completing detailed excel and database (Art Logic Online) shipping lists for each fair
  • Assisting Head Registrar with obtaining several shipping estimates for each fair
  • Working closely with Head Registrar and Head Technician on all logistical arrangements involved with each fair.
  • General assistance with Registrar and Shipping department when work load permits.
  • Preparing the timetable and full schedule of events for each fair in order for Head of Sales and Gallery Manager to allocate the rota.
  • Completing, managing and updating offer lists for each fair. Updating and resending offer lists during the fair when necessary.
  • Creating several maquette options for each fair using Google Sketch Up. Working closely with Head of Programme on curating the booths.
  • Liaising with fair organizers. Ensuring all necessary arrangements have been made so that the entire fair runs as smoothly as possible.
  • Arranging travel and accommodation for staff travelling to art fairs.
  • Supporting the sales team at fairs e.g. running errands, producing offers, checking prices,
    speaking to clients.
  • Attending all fairs that the Gallery participates in when requested.
  • Liaising with shippers and agents on site.
  • Creating excel and database lists so that deliveries happen in the most logical way possible and costs are kept to a minimum.
  • Ensuring the highest care is taken when technicians and shippers are handling artworks.
  • Producing and updating lists of works with packing and shipping information so that install and dismantling run as smoothly as possible & liaising with the Head Registrar in London regarding the return shipment of artworks.
  • Booking freelance technicians for installation and dismantling and photographers in destination city of fair.
  • Conducting market research and providing advice on alternative art fairs.
  • Strategizing and conducting financial comparisons in collaboration with CFO to ensure fairs are always as commercially successful as possible.
  • Checking that all financial information is accurate in advance of the fair.
  • Ensuring that the standards of the Gallery are upheld to the highest possible level at all times.

Person Specification:

  • A graduate in Art History, Fine Art or Museum studies (additional MA level of study preferred)
  • Active interest in and knowledge of contemporary art and the commercial art world
  • Excellent written and communication skills
  • Advanced knowledge of and facility with MS Office (particularly Microsoft Word and Excel)
  • Excellent organisational and project management skills
  • Ability to work both independently and as part of a team, with high level of enthusiasm
  • Knowledge of office procedures and general office protocol
  • Strong self-motivation and ability to manage time effectively, with minimum supervision
  • Resourceful, with the ability to respond positively to challenges and changes
  • Desire to learn and develop new skills and knowledge
  • Ability to create and maintain effective working relationships with a range of people
