Job description:

Highly active art business professional is searching for an experienced EA based in London, who would provide professional, personal and administrative assistance.

Duties and responsibilities:

  • Administrative support
  • Support with personal assistance to the Director
  • Ensure smooth running of the office
  • Organising the schedule, meetings and services for Director
  • Schedule meetings
  • Organising professional and social Calendar for the Director
  • Preparing relevant research and material distribution in advance of meetings / trips / events
  • Preparing minutes after each meeting
  • Organising travel plan and bookings as requested for artists, clients, business partners and Director’s family. For each business trip: research context of the event, and other useful data
  • Keep clients database up to date
  • Responsible for creating and supervising the map of company deadlines, director’s personal tasks and timelines, ensuring completion of tasks in a timely manner
  • Be in charge of archiving
  • Provide support with consignment and selling of artworks
  • Manage shipping, storage and inventory control of artworks, and clients
  • Coordinate shipping quotes between clients and shipping companies
  • Provide support with organising events and coordinate with different involved parties
  • Assist the Director with any requests and research, e.g. providing an overview of exhibitions in London and in different cities
  • Perform ad hoc tasks as requested
  • Hands on when organising client events and parties: control of the details, communication with guests
  • Initiative to organise the office, travels and records would be appreciated

  • Knowing how to work with social media
  • Ability to work under pressure to short deadlines
  • Ability to work independently with limited supervision
  • Experience using Adobe Creative Suite (Acrobat Pro), Zoom, G Suite
  • Excellent communication skills, including strong knowledge of English, other languages are a plus
  • Comfortable to communicate in a professional manner with a wide variety of people
  • Strong passion for art
  • Be aware of the global social calendar

Working conditions

  • Work is undertaken in the office in London or remotely
  • Flexibility with working hours including evenings and occasional weekends to meet the needs of the business, eg. during Art weeks, or when the Director is in a different time zone
