Job description:

Seeking an experienced EA to the Senior Partner of an international gallery in London. Reporting to the Senior Partner, Europe, the Executive Assistant supports the efforts of the Senior Partner, Europe with all business, personal, and administrative matters, including sales, exhibitions, art fairs, artist relations, client development, appointment, diary, and travel management.

Job Duties and Responsibilities:

  • Assist Senior Partner, Europe with sales offers, queries, and client outreach;
  • Help coordinate Senior Partner, Europe with itinerary for all travels;
  • Prepare Senior Partner, Europe daily and weekly agenda, oversee appointments, and keep gallery informed via shared calendar;
  • Organize and maintain viewing schedule;
  • Research artists, objects, and art market for comparables and general insight;
  • Maintain accurate, comprehensive, and up-to-date object records, prices, and relevant information in company database for all sales and consignments;
  • Oversee general financial office, including exact values and currencies of a large quantity of consignments and sales, and corresponding payment schedules;
  • Compile price lists and inventory reports;
  • Update auction catalogues; input sales results after every major auction; conduct market research prior to auctions;
  • Maintain and update list of reserves and sales in company database, informing Sales staff of changes and updates;
  • Prepare aftersale packets with relevant information;
  • Coordinate all shipping, transport, collection, and delivery with Registrar;
  • Maintain and update list of consignments brought in by Senior Partner, Europe to be discussed at Sales staff meetings; attend meetings on behalf of Senior Partner, Europe if and when required;
  • Coordinate with artists, museum directors, curators, and journalists as needed;
  • Assist Senior Partner, Europe with various aspects of exhibitions and art fair logistics when they are the lead.

Experience:

  • 2+ years of experience as an Assistant in an art gallery, museum, or comparable
  • Working knowledge of Microsoft Office, Google Suite, Adobe Creative Suite (InDesign, Photoshop).
  • Basic computer and IT support with various hardware and=

Education: BA or MA in Art History; focus on or interest in twentieth century to contemporary art, preferred.

Language: Fluent oral and written English. Any additional languages are a bonus.
