Job description:

An internationally renowned contemporary gallery is looking for a Finance Manager for their London office.

Responsibilities include, but are not limited to:

Accounts Payable:

  • Ensure all payment requests are coded and approved
  • Enter accounts payable into ACCPAC-SAGE
  • Prepare weekly payments by uploading from accounting system into banking platform
  • Liaise with NY in relation to inter-company transfer invoices
  • Monthly Payment of Wages and related Tax

Accounts Receivable:

  • Download and check Daily bank Transactions
  • Update Database, Accpac, Cash and Sales Journal with daily movements
  • Send out “payment received” emails regarding wire payments to relevant staff members.


  • Verify Sales Order forms and liaise with Sales Assistants for queries
  • Generate Invoice (Sales and Miscellaneous)
  • Assist Sales Team with UK/EC Tax queries
  • ARR queries and calculations
  • Margin Scheme calculations
  • Liaise with Controller on German Artists Statements
  • Liaise with Controller on UK Artists Taxation
  • Generate Self-Billing invoices for artists for Controller’s review

Statutory and Taxation:

  • Prepare and File Quarterly UK VAT
  • Prepare and File monthly EC Sales
  • Prepare and File monthly DE VAT
  • File quarterly ARR submissions
  • Deal with all VAT queries from UK, EU and non-EU clients, staff and
  • Manage periodic HMRC accounts audits

Credit Cards:

  • Monitor, reconcile and collect all credit card statements
  • Ensure all charges follow appropriate authorisation procedure
  • Email copies of credit cards to assistants and directors
  • Code all of the credit cards and enter them in Accpac

Expenses/Petty Cash:

  • Manage and reconcile main Petty cash and Front desk Petty cash
  • Manage and reconcile cash advances and foreign currencies
  • Arrange Staff expenses refunds/deductions via payroll
  • Create journal entry to reconcile petty cash account to correct expense categories


  • Monthly Bank Reconciliation
  • Record missing payments and auto-debits
  • File and maintain records in good order
  • Monitor Staff Travel Loans
  • Liaise with Director of Finance and Controller on Year End Audit
  • Ad-hoc reporting for Financial director and Controller in NY
