Job description:

We are seeking a Financial Analyst for an international art gallery with two spaces based in New York (UES / Tribeca). Several years of previous professional experience is required with a good knowledge of QuickBooks Online accounting software and finance automation tools.  The Financial Analyst will be responsible for several aspects of financial management including budgeting/forecasting. Autonomy and strong communication skills are expected from the candidate.

Responsibilities:

Main focus & challenge:

  • Financial analysis: work with the gallery manager in the preparation of monthly and quarterly financial analysis of all company financial statements including:
    • Monthly financial meeting: prepare a monthly review of the Year to date P&L (YTD P&L), perform YTD P&L comparison and explain significant variances. Review with the gallery manager / bookkeeper the Aged Receivables / Aged Payables, Bank Balances, Inter Gallery Balance Account
    • Profit & Loss statements for exhibitions, art fairs, and other special projects. Monitor and report on gallery exhibition and art fair budgets vs. real to Finance and Data Controller & Global Managing Director
    • Elaboration of yearly budget with the gallery manager and calculate / explain variances from the budget
    • Cost control: ensure continuing control and identify potential cost-cutting
  • Financial management: work with the gallery manager in the management of AP / AR ; reconcile cash flow and bank account balances for cash flow through active management of payables and receivables, manages the chart of account; reviews purchase order, quotes and approve invoices
  • Tools development: develop and manage financial models to automate all reporting functions and enhance financial management and data reporting

Additional responsibilities:

  • Payroll administration support: review and approve bi-weekly payroll and pension plan contributions
  • Establish sales commission calculations, reconciling with management
  • Support bookkeeper in monthly bank and credit card reconciliations
  • Support bookkeeper with conducting periodic reconciliations of all accounts to ensure their accuracy
  • Provide clerical and administrative support to management as requested
  • Verbally confirm vendor, artist and client wiring instructions
  • Verbally confirm or provide credit card details for payment
  • Generate shipping reimbursement invoices and confirm receipt of payment
  • Create Square Links for shipping reimbursement invoices via credit card
  • Answer questions related to reinvoicing or sales tax prior to GM involvement
  • Ensure correct internal finance administrative processes are followed and suggest any areas of improvement
  • Organize travel receipts for refunds and populate actuals into budget template
  • Enter production costs and advisor commission fees into database
  • Assist with populating Exhibition and Art Fair P&L templates
  • Assist with populating IT budgets and ordering assets and equipment
  • Assist with the request of 1099s

Desired qualifications:

The Financial Analyst candidate should have at a least a bachelor degree in accounting, finance, business administration or equivalent business experience, as well as a good knowledge of accounting US GAAP. Preference will be given to candidates with a working knowledge of Quickbooks Online, advance Excel skills, and interest in new technologies. A Tech-savvy profile is highly desired.
