Job description:

A well established Mayfair Gallery specialising in Modern Art is seeking a Receptionist and Administrator for a 6 month contract. This is a junior role that would suit someone who enjoys administration and hospitality.

Daily tasks:

  • Greet clients on the ground floor
  • Offer tea and coffee to all guests
  • Answer the phone
  • Open post and distribute to appropriate staff members
  • Go to Post Office
  • Take cheques to the Bank
  • Take out the rubbish (at 3pm and 6pm)
  • Wrap artworks
  • Make deliveries on foot or by taxi

Weekly tasks:

  • Collate discussion points from all staff for agenda of weekly meeting
  • Type up minutes from weekly meeting
  • Gather Amex receipts
  • Add meetings, trips, private views, auctions, fairs to the diary – rsvp to events for the Gallery Owner
  • Renew subscriptions (artnet, Baer Faxt, Artnet etc) and memberships
  • Go through invites with the team
  • Add new contacts to Outlook and Artlogic database
  • Add art fair notebooks to Artlogic with correct tags
  • Book City Sprint/Fedex
  • Send out catalogues for clients
  • Make online orders – Sainsburys/ Nespresso/ Cleaning products (liaise with cleaner)/Viking/Rymans/Candles
  • Handle deliveries to the gallery i.e. Sainsburys and parcels
  • Assist registrar with artworks received into gallery
  • Maintain price lists for each room in gallery
  • Book chef for gallery lunches
  • Record gallery lunches, dishes clients ate/dietary requirements on document
  • Send flowers/gifts/thank you notes to clients
  • Tidy the library every Friday

There will be some other personal administrative tasks for the owner and directors as required.
