Our client, an International Design Gallery, is looking for a Gallery Assistant to join the team. The gallery is about to embark on an exciting move to a significant new space in Mayfair and is looking for a friendly and hardworking person to undertake a Gallery Assistant role within the team. The ideal candidate will be methodical, highly organised, proactive, and collaborative. This is an exciting opportunity to work with a fast-paced, international gallery and be a part of the busy (but small) gallery team. The position is Tuesday through Saturday from 10 AM – 6 PM, with additional hours as needed for events and work-related tasks.

Responsibilities include (but not limited to):

Sales & Admin Support

  • Providing general administrative support to Sales Team and Gallery Manager
  • Assist the Gallery Manager in the day-to-day running of the gallery (e.g. stationary check, tidiness of the gallery, handle phone calls, team events)
  • Front of House support
  • Prepare emails and sales information for clients
  • Prepare sales presentations, proposals, and offers
  • Prepare and update agreements for consignments, commissions, and sales
  • Prepare, send and track offers, invoices and payments
  • Provide sales support before, during and after our five annual art fairs
  • Assist pre and post sales logistics in coordination with the relevant departments
  • Provide client liaison support and engage with clients in a polite, professional manner where required with a prompt address of their concerns
  • Maintain an excellent relationship with artists’ studios, providing them with administrative, logistical and project management support where required
  • Oversee calendar, itinerary, expenses, and travel arrangements for the team where required
  • Update and organise database and record client contacts, activity/interests, and artwork information

Marketing and Social Media Assistance

  • Support Visual Communications with Social Media Management
  • Assist in planning relevant Instagram content for three weekly posts
  • Manage comments, responses and inquiries via social media and escalate to sales team
  • Think creatively and pitch ideas for new original content
  • Write superb copy for social media posts, ensuring alignment with gallery language and tone of voice


  • The ideal candidate has a few years of related experience or equivalent
  • BA or MA in Art History, Studio Art, or a related field preferred
  • Excellent writing and organisational skills
  • Excellent communication etiquette in person, on the phone, and over email
  • Excellent computer skills including Google Suite, Adobe Suite, Microsoft Office, and Excel
  • Quick problem-solving and multi-tasking skills
  • Commitment and availability to work overtime during art fairs
  • Ability to work independently and manage your own time, while also being an enthusiastic and collaborative team player
  • Ability to remain calm and composed under pressure and manage several projects at the same time
  • Preference for candidates with additional foreign languages
  • Knowledge of ArtLogic and Asana is a plus
  • Passion for contemporary craft and design is a must!
