Job description:

Our client, a well established international contemporary gallery in central London, is looking for a Gallery Manager to join their team. This person will ensure the smooth daily operations of the gallery by overseeing the management of the gallery space and its staff. The ideal candidate will be a motivated self-starter, reliable and with high attention to details, able to create a supportive workplace for team-members. The successful candidate will be comfortable handling the gallery’s budget for supplies and events, operations from a security and safety perspective, HR & staff management, liaising with external suppliers and IT, event management and staffing, and training new staff on gallery procedures. The successful candidate will have a strong background and work experience as Gallery or Office manager, ideally within the cultural world.

Main responsibilities include but are not limited to:

Gallery Operational Activities

  • Gallery Management and operations related to Gallery and Building Maintenance, Staff and HR,
    Security and Health & Safety
  • Suppliers Management: Gallery Maintenance, IT and Digital Subscriptions, Security, Telephone
    Contracts, Cleaners, Catering
  • Security Management: Alarm, CCTV System, 24H Security, Keys Management, Maintenance &
  • Health & Safety Management: H&S Officer, First Aider, Fire Marshal, Staff Induction, Contractors’ Risk
    Assessment, Covid response plan
  • Fire Alarm & Fire Evacuation Management: Suppliers, Gallery’s Procedures, Staff Training
  • IT Management: liaising with the IT team to control gallery Computers, Server, MS Office, Adobe
    Suite, FileMaker Pro, iCloud, Software & Apps, Printers
  • Mail Services Management: FedEx, Addison Lee, City Sprint, DHL, UPS, Royal Mail, general request

  • Building Management: Electrical, Air Conditioning, Contracts & Suppliers

Administrative Activities:

  • Liaison with all departments across international galleries of the group. In particular with Directors’
    Offices and Exhibitions, Administration and Communication departments
  • HR and Staff Management: managing of Attendance, Holidays Planner, Leave, Sickness and Lieu
    Days, Rotation and presence at the gallery, Contracts, Internal rota planning
  • Budget Control of suppliers of own areas of activity and saving cost initiatives
  • Administrative Management of Telephone Contracts, IT subscriptions, Stationery and internal Library
  • Support of Digital Database and Gallery Server and other Digital platforms
  • Gallery Handbook, Solicitors’ Liaison, Policies and Procedures, Legal Requirements

Customer Service Management:

  • Gallery and venues management for openings, private views and external events in terms of
    Operations, Contractors, Catering, Staff, Security
  • Customer Service, Collectors and VIP Hosting, Private Views, Managing Enquiries
  • Front of House Management: training Staff on FOH Procedures, Bookings and Calendars systems
  • Occasional Liaison with Artists, Art Galleries and Museum Institutions, Collectors & VIPs

Person specification:

  • Self-starter, ability to take responsibility and initiative to improve processes in own areas of activity
  • Multi-tasking, able to coordinate different projects at the same time, handling stress over meeting
    different deadlines
  • Good communication skills, able to communicate and liaise with different stakeholders (clients,
    public, suppliers and staff)
  • Good team player, able to create a good working environment, supporting the rest of team when
  • High Attention to detail to ensure that highest standards are met in the work place
