Office Manager (Artists Studio)

Job description:

On behalf of a thriving artists studio we are looking for an Office Manager and Assistant. This is a key position which will be focused on supporting the Artist with the day to day running of the business. The role will be 5 days per week, 2 of which can be based from home and 3 based at the studio in East London.

The key tasks are varied and will include:-

  • Financial Administration
    • Managing business cash-flow
    • Generating Invoice and ensuing prompt payments
    • Paying suppliers
    • Staff payroll
    • Liaising with external accountants regarding all aspects of the Company accounts, including HMRC liabilities and tax returns
    • Production Budgets

      • Working wth the Studio Manager to manage the studio schedule, production costs and budgets
      • Providing business proposals, forecasts and reports to the owner as required

      • Organisation of shipping and packing of art works

    General Office Management

    • Ordering supplies
    • Keeping the studio organised
    • Implementing admin processes and procedures
    • Ensuring Business and Building insurance is renewed and up to date
    • Ensuring all security systems are updated

      • Managing a team of 6 assistants and direct line-management of Studio Manager
      • Drawing up employment contracts
      • Tracking staff Holidays
      • Preparing Payroll
      • Pension Payments
      • Sick pay
      • Recruitment
      • Probation periods and pay-reviews


      • Acting as the conduit for communication between the artist and the studio staff and visa versa
      • Leading weekly team meetings and 1:1s with the Artist and Studio Manager
      • Main contact with the artist’s dealers and collectors

      Personal Assistant

      • Diary Management
      • Correspondence by phone and email
      • Travel management

      Specific projects

      • Updating the artist’s website, working with an outside contractor if necessary
      • Creating and managing a comprehensive mailing list for the artist
      • Exhibition management and budget planning for any upcoming shows for the artist
      • Managing the studio relocation to a new site in July 2019, liaising with outside contractors and suppliers as required


    • Mature in outlook
    • Experience in an artist’s studio or as an art world PA 5 years +
    • Good administrative skills
    • Excellent communicator
    • MAC fluent
