Job description:

Our client, a blue chip gallery is searching for an energetic, collaborative, and organised Operations Lead for its Paris galleries. The ideal candidate will have extensive and solid experience in administrative and operational functions. We are looking for a manager, problem solver with a proactive and transparent approach, under the authority of the gallery director. This role is based between two of the galleries, working between Monday – Friday.

Duties include but are not limited to:

  • Develop, implement, and maintain quality assurance
  • Increase the efficiency of existing processes and procedures to enhance the company’s internal capacity
  • Maintain a safe and healthy work environment by establishing, following, and enforcing standards and procedures; complying with legal regulations
  • Operational management of General Services and the transmission of information to the accounting department
  • Liaison agent with suppliers: negotiation of prices and revision of quotes and contracts for the gallery as a whole within the limits of the allocated budgets
  • Maintain accurate and up-to-date records of all expenses related to gallery Coordination and management of orders on the 3 sites
  • Administrative management of the buildings (ensure that contracts are up to date, that repairs and/or renovations are made, and that certificates are in order)
  • Monitoring of insurance thresholds and assessment of insurance needs
  • Liaison with the bank, the lawyer and/or the architect of the gallery if necessary
  • Approval and proofreading of all consignment contracts (for incoming and outgoing works)
  • Liaise with the Operations Manager regarding ongoing and future construction projects, management of security guards (schedule and contracts)


  • Strong organisational, financial, project and time management skills
  • Experience as an office manager is a plus
  • Strong Excel skills
  • Ability to work flexible hours
