Job description:

A contemporary gallery in London is looking for an experienced and self-motivated Operations Manager to join their team.

Responsibilities of the role include, but are not limited to:

Building and Office Management

  • Management of maintenance contractors and service providers at the gallery, including air conditioning, business stationery, cleaning, fire safety systems, heating, internal and external post services, recycling, security systems and utilities, including monitoring and negotiating contracts
  • Arrange and oversee repairs, maintenance, office moves and building projects
  • Designated out-of-hours keyholder and emergency contact
  • Management of landline telephone system
  • Management of site petty cash, raising purchase orders, passing invoices for purchases made
  • Keeping accurate and up to date records on all subjects

Company Mobile Phones

  • Management of mobile phone accounts
  • Negotiate bi-annual company contract with sign off from Operations Director
  • Point of contact to resolve user mobile issues, liaising with phone contractor and IT department as required
  • Keeping accurate and up to date records of all users’ mobile accounts liaising with IT department

Health and Safety

  • Site Fire Marshall, Health & Safety officer and First Aider
  • Conduct and record site fire alarm tests and evacuations
  • Site point of contact for external H&S consultant working on risk assessments and site audits, following up on action points as required
  • Conduct invigilator Risk Assessments for each exhibition
  • Obtain contractors Risk Assessments for maintenance work as required
  • Undertake fire and health and safety inductions for new staff
  • Organise first aid training for relevant staff
  • Organise fire safety training for relevant staff

Gallery Exhibition and Preview Events

  • Working at gallery exhibition openings and events
  • Supervise front of house areas
  • Liaising with Events and Exhibitions departments on security, health and safety, crowd control

Front of House Team

  • Line manage Reception team
  • Recruit for new Reception staff
  • Supervise front of house procedures
  • Organise Reception cover as required

General

  • Assist wider Operations department on any projects as required
  • Due to current Covid-19 pandemic, assist Head of Operations on Covid secure procedures
