Job description:

An established and highly respected contemporary gallery in London is looking for an experienced Personal Assistant/Sales Assistant to work for a Senior Director in the sales team. The ideal candidate will be comfortable working at a fast pace and under pressure. Meticulous attention to detail is essential along with the ability to prioritise a varied workload.

The role will include, but is not limited to, the following responsibilities:

  • Provide administrative support to the director in all aspects of their overall responsibilities
  • Organise all travel and meetings itineraries, prepare agendas as required
  • Prepare sales offers and related materials
  • Prepare other internal and external presentation materials
  • Assist with artist relationships and any organisational responsibilities for art fairs and exhibitions
  • Look after visiting guests, clients and artists as required
  • Assist with the organisation of events and hospitality, manage invitations and guest lists, liaise with third parties
  • Coordinate across all company locations as necessary
  • Attend meetings, take notes, prepare minutes and follow up on action points
  • Preparation of expense reports, credit card statements and other related documentation

Candidate requirements:

  • A minimum of 5 years experience in a commercially driven organisation, ideally in the cultural or creative business sectors
  • Educated to university degree level
  • Excellent written and communication skills, be able to articulate views clearly and confidently
  • Well developed analytical, organisational and interpersonal skills
  • Proven track record working with database and office software applications
  • Able to work both independently and collaboratively, confident to take initiatives
  • Knowledge of foreign languages helpful but not essential
