Job description:
Our client, CEO for a non-profit contemporary arts organisation, is looking for a dynamic and tech savvy PA to support both on business and private matters.
- Providing senior level assistance to the CEO and his family on all business and private matters
- Based at the main office, however functioning fluidly between the art foundation, business and private household liaising between staff at all locations and acting as the main point of contact
- Extensive diary management and forward planning
- International travel arrangements including preparing detailed itineraries
- Ensuring the CEO is always fully prepared and up to date and briefed for meetings with all relevant documents to hand
- Monitor all correspondence (emails, faxes and mail) both incoming and outgoing, invitations, registrations for events
- Produce letters, reports and spreadsheets as required
- Some personal banking and accounts on behalf of CEO, maintaining budgets and expenditure
- Compiling and submitting company expenditure claims
- Liaising with staff to ensure seamless running of private household, informing driver and housekeeper of CEO’s weekly and daily movements and changes. Order household purchases as requested by housekeeper. Advice of visitors and deliveries to the house, manage special installations and any maintenance works. Manage secondary properties.
- Organizing private and corporate events including dinner parties, golf days, shoot days, charity fundraisers, gallery openings etc
- Various ad hoc duties including shopping, errands, researching artists, studio visits and auction results
- Essential member of the admin team, liaising with other PA’s and Team Assistants to schedule meetings, request documents and information in order to brief CEO on progress for various projects
- Acting as a first point of contact for the CEO and representing him with professionalism and discretion at all times
Desired Skills and Experience
- Previous experience as a PA/EA at a senior level
- Demonstrate ability to multitask, detail orientated, flexible
- Self-starter, able to work independently and prioritise workload
- Excellent spoken and written communication skills
- Advanced MS Office skills
- Understands and appreciates the importance of using discretion at all times
- Shows initiative in taking action and responding appropriately
- Excellent telephone manner and interpersonal skills to deal with a wide variety of people and clients
