Job description:

An established Artist Studio is seeking an experienced and exceptionally organised Project Manager and Studio Administrator to provide direct administrative support for the studio’s extensive project and exhibition schedule. This will include developing and overseeing complex timelines, making travel arrangements, tracking deliverables from internal and external sources, and overseeing project rollout. The Project Manager and Studio Administrator will also be responsible for some of the studio’s general administration and organisation. The role requires clear written and oral communication, as well as an ability to anticipate problems and proactively present solutions. The ideal candidate will have excellent administrative skills and high-level experience supporting a team of specialists. Applicants must be team players eager to provide stability and consistency to a fast-paced studio. This role will report directly to the General and Business Manager and the Production Manager.

Major job responsibilities:

  • Schedule, prepare for, and attend project meetings, taking detailed notes for distribution to the team.
  • Track action items both internally and externally.
  • Develop and maintain efficient processes that keep the studio organised.
  • Help create and manage fabrication schedules and project timelines.
  • Liaise with fabricators, galleries, and museums.
  • Coordinate and plan project-related travel needs . Develop and track project budgets.
  • Maintain a big-picture, long-term view of all projects and ensure that day-to-day function is in sync with greater studio goals.
  • Assist with general office administration and studio organisation.

Key skills & experience:

  • Minimum five years of experience in a project-manager or administrative role.
  • Excellent organisational skills.
  • Demonstrated ability to support a team.
  • Track record of independent and complex problem-solving.
  • History of consistently applying policies and procedures.
  • Demonstrated ability to create and implement organisational systems.
  • Strong writing and proofreading skills.
  • A critical eye for detail.
  • Previous experience with developing and maintaining budgets.
  • Knowledge of industry best practices.
