Job description:

Our client, a renowned Artist’s Studio in London, is seeking a Registrar to join their busy team.

Key areas of responsibility:

  • Dealing with all matters in connection with the shipping of artworks post-sale, including obtaining estimates on behalf of clients and all necessary paperwork as well as maintaining the database with all shipping and installation information
  • Liaising with the studio installation teams for post‐sale installations
  • Inventory review including liaising with studio on completion status of inventory and managing the database to ensure information is accurate and up to date; working as part of a team to identify works with best potential for sale/priority
  • Ensure the priority list of artworks is always ‘client ready’ to allow any artwork to be shown to a client as and when required
  • Work with third parties including the studio’s galleries on consigned inventory, including consignments contracts with galleries, preparing works for shipping, keeping consignment information up to date on the database
  • Be responsible for Insurance of Inventory including close liaison with insurers regarding cover for artworks, providing insurance values to team, preparation of insurance values for exhibitions and loans, inputting insurance values when works are completed, management of the insurance exposure at each studio and inventory location
  • Be responsible for managing the commissions including working with exhibitions team and studio on commission proposals, managing tracker, liaising with teams on production, preparing to release shipping, providing invoice information for finance and liaising with finance to track payment status
  • Working with the Finance department on the Annual Audit and preparation of year-end returns including liaising with the studio and auditors on the annual stocktake
  • Working either on standalone projects or as part of a team

Ideal candidate:

  • Solid experience and excellent manner in managing client relationships while also negotiating behind the scenes with all parties required to deliver
  • Will have an excellent attention to detail and be familiar with checking condition reports, installation guides, fabrication details, framing and display information
  • Project management to put together cost estimates and timelines and deliver on both for multiple streams at short notice and within tight timescales
  • Will be totally up to date with shipping export/import paperwork in key markets including the US, Freeports, including TA and Bond.
  • Will be an extremely competent administrator and have worked in roles that provide information to users on a timely and efficient basis
  • Will have demonstrable experience of working on their own on projects and being able to present the results in a clear and concise fashion to management
  • Experience of drafting reports and documents for distribution to third parties outside the group
  • Will have very good basic numeracy skills and have had exposure to costing and pricing
  • Will be able to review and analyse contracts and extract information from contracts for analysis and distribution
  • 6+ years’ work experience in similar roles within a gallery or studio‐client facing role
