Job description:

Our client, a contemporary gallery with two spaces in London, is seeking a Sales Assistant to join the team.

Responsibilities include but are not limited to:

Supporting the Sales Team

  • Tracking reserves and sales on Artlogic
  • Making pdf and Private View offers for the sales team upon request
  • Adding new contacts to the database
  • Compiling and managing client lists and waitlists
  • Scheduling and calling sales meetings (including preparing agendas, materials for discussion and circulating minutes post-meeting)
  • Creating travel itineraries and booking hotels and flights for travel
  • Researching sales-related topics
  • Updating the sales history of artworks
  • Conducting all post-sale procedures from anti-money laundering checks to invoicing
  • Coordinating shipping matters with the Registrar
  • Coordinating museum loans with clients

Managing Online Inquiries

  • Designating online inquiries from sales and info accounts (including Artsy, Artnet, Ocula and Vortic inquiries)
  • Adding new contact information from inquiries to Artlogic
  • Assisting sales team with inquiry answers upon request
  • Recording client correspondence in Artlogic

Fairs

  • Completing fair applications
  • Booking hotels and flights for each member of the sales team
  • Completing all fair administration prior to the fair opening, during and after the fair concludes
  • Managing inventory chart with artist liaisons to prepare allocations for fairs
  • Working with sales team to determine artworks lists for fairs
  • Managing photography and videography deadlines
  • Ensuring the completion of fair boxes by the gallery assistant
  • Preparing materials for physical booth display
  • Designing booth sketches with head technician and artist liaisons
  • Building fair OVRs and managing corresponding PCG website OVRs
  • Creating pdf and Private View previews and updating each with holds and solds
  • Designating online inquiries and managing live chats during fairs
  • Managing fair budgets and calculating estimated and actual turnovers
  • Recording contacts gathered during fairs in Artlogic

Person Specification

  • Proficient knowledge of Artlogic, CMS systems and InDesign
  • Fluent in English
  • 2 years minimum experience in commercial galleries or a related field
  • Bachelor’s degree in Art History or a related subject. Master’s degree in Art History or a related subject is preferable
