An international Contemporary Gallery is seeking a Sales Assistant starting mid June for a fixed term, maternity cover. The Sales Assistant is responsible for providing all administrative and research support to the Senior Director. Focusing on sales, client and artists’ liaison the role is a key point of contact for all queries relating to sale and/or artists associated with that dealer. Responsible for orchestrating, recording and maintaining exhibition and sales related details, including but not limited to; the organisation of incoming and outgoing consignments and loans, nurturing relationships with gallery artists as well as overseeing the planning of exhibitions, art fairs and special projects as directed by the Senior Director. As part of a small team, you will also be expected to support other sales assistants during peak times, as and when required and as your own workload allows.

Please note this is a 14 month fixed term, maternity cover.

Primary Responsibilities (include but are not limited to):

  • Maintain and update company database with sales, reserves and offers and keep relevant internal parties updated.
  • Gather information to provide to clients and artists and prepare and send sales offers.
  • Provide exceptional client service and artist support.
  • Support the Senior Director with research for potential future projects and exhibitions.
  • Work with the Senior director on sales strategies and opportunities.
  • Work with accounting to review and produce streamlined and clear artist accounts.
  • Accurately manage the inventory of assigned gallery artists, working with the Registrar to:
    – acquire works, enter and update terms as directed
    – maintain accurate locations of inventory
    – verify accurate catalogue information
    – update production and reimbursable costs as well as sales prices
  • Maintain up to date indexes and inventory records, as well as biographical and exhibition information for gallery artists managed by the Senior Director.
  • Prepare Incoming and Outgoing Consignment & Loan Agreements in collaboration with the Registrar Department.
  • Conduct research on works of art as needed, including provenance, exhibition history and artist bibliography.
  • Work with Photo Archives, Public Relations, and Research & Archives departments to gather information to provide to clients and artists.
  • Complete post sale administration when and where needed. Provide the Registrar and Accounting departments with all the necessary information for invoicing and shipping once works of art are sold.
  • Work with Accounting to ensure all sales invoices are created accurately and sent to clients in a timely manner.
  • Coordinate with the Registrar and Shipping department to arrange post sale transport, insurance and installation (if required) of sold artwork leaving the gallery.
  • Develop and coordinate exhibitions, art fairs and special projects as associated with and directed by the Senior Director.
  • Maintain good professional relationships with global colleagues and promote collaborative to obtain necessary information.
  • Coordinate viewings, keeping all relevant internal departments updated.
  • Diary management for the Senior Director.
  • Coordinate the Senior Director’s travel arrangements; preparing itineraries and bookings.
  • Collate Senior Director’s expenses receipts and submit their expenses reports.
  • Assist with private views and promotional/marketing events at the gallery.
  • Support others in the Sales Assistant team during peak times.
