Job description:

An internationally renowned contemporary gallery in London is looking for an experienced Registrar to join their team for a 1 year fixed term contract as Senior Client Registrar.

Key responsibilities of the role include, but are not limited to:

Client

  • Act as point of contact for clients after point of sale
  • Arrange safe delivery of artworks in good time
  • Work with Technical department to arrange the installation of artworks at clients’ premises
  • Ensure accurate and informed instruction is given with regard to handling, installation, care and maintenance of artworks
  • Adhere to all HM Customs & Revenue requirements on shipment of artworks
  • Advising on best invoicing protocol for international sales regarding tax regulations
  • Ensure correct invoicing status for works under UK Customs relief or warehousing
  • Obtain all relevant documentation for movements of artworks once collected
  • Provide Accounts department with relevant customs documents for processing

Artist Studios and Consignments

  • Co-ordinate local and international transport of new artworks from Artists’ studios for consignment/ art fairs/exhibitions
  • Instruct condition reporting for artworks and ensuring works are insured, checking and confirming packing and casing requirements
  • Liaise with Artist Liaison team to organise consignment agreements for Artists’ studios
  • Liaise with Legal and Artist Liaison team to organise third party consignment agreements
  • Raise invoices for third party sales
  • Manage Artists’ inventory; undertake regular reports of on and off-site storage
  • Liaise with the Exhibitions department to organise shipping schedules and deadlines
  • Work with Fabrication to advice on issues from logistics perspective

General

  • Manage Temporary Admission accounts
  • Adhere to all HMRC requirements on shipment of artworks
  • Develop gallery procedure in line with international standards for fine art shipping and gallery / museum practice
  • Ensure correct invoicing status for works under UK Customs relief / TA
  • Monitor shipping, storage and installation costs incurred by the gallery, reporting to the Financial Director
  • Be point of contact for satellite offices
  • Attend and contribute to relevant Registrars’ conferences and forums

Considerable experience gained within an art shipping company or as a Registrar in a commercial gallery is essential.
