Job description:

Our Client, a leading Fine Art & Antiques Shipping company based in Berkshire, are seeking to appoint an experienced Storage and Local Operations Manager to join their team.

The ideal candidate would be an enthusiastic individual who is good with IT systems able to take on the challenge of updating existing systems, improving inventory records, managing the establishment of a new climate controlled facility and promoting  storage capabilities to existing and new customers.

Key duties and responsibilities include:

Managing the storage process:

  • Keeping detailed and accurate records of clients storage
  • Implementing improvements to existing systems
  • Ensuring clients are invoiced accurately and in a timely manner
  • Regularly liaising with the warehouse and others to ensure all items are accounted for and invoiced accordingly
  • Performing inventory checks on a regular basis to ensure records are accurate
  • Manage a number of project files simultaneously including the timely booking of internal and external services e.g. transport, case making, freight etc.
  • Assisting project managers with consolidations of goods for hold in storage prior to installation/project delivery
  • Active involvement in marketing storage facilities, assisting the Business Development Managers with creative ideas and implementation

Local Operations:

  • Co-ordinating all aspects of shipping fine art and antiques
  • Assessing clients individual needs on a daily basis – liaising with overseas agents, private collectors galleries, auction houses, artists, transport companies)
  • Communicating with clients, guiding them through the process of shipping of their artefacts
  • Quoting and coordinating both domestic and international shipments
  • Arranging customer collections, deliveries and specialist packing services
  • Preparing and processing all documentation and booking transportation
  • Efficiently handling paperwork including bills of lading, labelling, timesheets and detailed condition reports with photos, customs clearance and advising the customer of any required payments due
  • Ensuring invoices are produced on time, month to month or in advance as the job file require
  • Preparing operational reports detailing all work  on our freight management system
  • Produce cost analysis and reports of jobs and European truck run
  • Communicating with sales and operations team throughout the day

Person Specifications:

  • Excellent verbal and written communication skills
  • Excellent computer skills, fully conversant in Microsoft Office and proficiency in Excel
  • Possess excellent attention to detail skills and be very organised
  • Knowledge of all legal documentation associated with shipping fine art and furniture around the globe is essential
  • Thorough understanding and a minimum of 2 years experience with industry standards for handling, packing and transporting high end furniture, art and antiques
