Job description:

We are seeking a highly organised and proactive Studio Administrator to support daily operations at an Artist Studio in Oxfordshire.

The Studio Administrator will act as a point of contact for the studio, supporting the administration of projects, production schedules, travel, accounts, and archives. This role requires excellent organisational skills, IT literacy, and attention to detail, as well as the ability to liaise effectively with internal teams, external suppliers, and collaborators.

Key Responsibilities:

Calendar & Project Coordination

  • Maintain studio diaries, production schedules, key dates, milestones, and status updates.

  • Administrative support planning for exhibitions, art fairs, and events, including liaising with security, maintenance, and external stakeholders.

  • Assist with full implementation and administration of project management software.

Accounts & Finance

  • Liaise with suppliers and accountants to manage invoices and payments.

  • Monitor cashflow, project budgets, production costs, and general expenses.

  • Assist with annual VAT reviews and attribution of costs to receipts.

Office & Studio Management

  • Maintain office equipment, supplies, and filing systems.

  • Administration of contracts, proofreading documents,

  • Organising couriers, collections and deliveries.

  • Support IT systems, including basic troubleshooting and data backups.

  • Monitor building management systems (lighting, thermostats, basic maintenance).

Production Support & Travel

  • Schedule and book travel, including flights, accommodation, and transportation for production needs.

  • Liaise with registrar/production teams on consignments, loans, exhibition photography, locations, and condition reports.

  • Maintain database and contact directories and ensure details are up to date and accurate.

Archives & Documentation

  • Support retrospective review and management of studio archives, including images, production details, and documentation to create a robust resource.

Person Specification:

  • Strong organisational, planning, and multitasking skills.

  • Highly IT literate, competent with office software and project management tools.

  • Excellent communication and interpersonal skills.

  • Detail-oriented with the ability to handle multiple priorities under tight deadlines.

  • Interest or experience in the arts, heritage, or creative sectors preferred.
