Job description:

A unique opportunity to work alongside a leading contemporary artist and his international practice and studio. The Executive/Personal Assistant will provide the highest level of support to the artist, creating an administrative framework to empower the artist to achieve specific goals and initiatives. The Assistant’s responsibilities will be broad, spanning the artist’s professional and personal matters. The Assistant will play a lead role in establishing studio culture and team dynamic and will represent the artist as necessary both internally and externally at the highest level.

Responsibilities include, but are not limited to: 

  • Artist schedule management: ensuring artist’s calendar is optimized for priorities and kept up to date; actively monitor the diary resolving any schedule conflicts quickly, diplomatically communicating these changes to those affected
  • Travel arrangements: booking transportation (local, domestic, and international) and accommodations, and preparing detailed itineraries
  • Communication on behalf of artist: engaging with studio team and external parties efficiently and professionally
  • Meeting records: taking meticulous, actionable meeting notes when artist is and is not present and making sure appropriate follow-up occurs in a timely manner
  • Project management: assisting with studio and personal projects, including matters related to project budgets and real and personal property management
  • Studio administrative support: assisting with general office administration and studio organization, including purchasing office supplies and setting up for meetings
  • Daily errands and tasks: handing matters such as dry cleaning, ordering lunch, and coordinating with household staff


  • Substantial experience working in an administrative support role in a dynamic environment
  • Excellent written and verbal communication skills, including confident telephone manner
  • Ability to copy edit press releases and interviews
  • Strong organisational skills with the ability to manage priorities, problem solve and develop structured and efficient approaches to deliver work on time and to a high standard
  • Work with constant diligence and able to execute multiple tasks in a timely manner
  • Ability to work effectively and calmly in a rapidly changing environment when situations change, workload increases or priorities shift
  • A resilient, “can do” attitude with a proactive and flexible approach
  • Self-motivated with the ability to produce work to a high standard, accurately and with meticulous attention to detail
  • IT literacy and high level of proficiency using Google Drive and Calendar, Microsoft Office, and related software
