Job description:

Our client, an established West London art consultancy, is looking for an organised and proactive Studio Assistant to manage the day-to-day operations of the studio. The ideal candidate will need strong organisational and administrative skills, as well as an operational mindset, a can-do attitude, a keen eye for detail, and a willingness to flexibly assist the Project Management and Art teams with ad-hoc tasks and projects.

Operations:

  • Order and maintain office supplies, such as stationery and consumables.
  • Coordinate travel and hotel bookings for staff and contractors.
  • Liaise with offsite IT consultant when required.
  • Set up for internal and external meetings, ensuring video conferencing equipment is running smoothly.
  • Book cleaning and other contractors when necessary.
  • Pay suppliers and liaise with accounts regarding supplier invoices and payments.
  • Reconcile office expenses and Director’s credit card reports.
  • Answer the office phone and assist with general enquiries.

Administration and ad-hoc projects:

  • Raise ad-hoc purchase orders and compile other purchase documents such as terms and conditions.
  • Take and circulate minutes for internal meetings; assist with notetaking in external meetings.
  • Assist in the implementation of a new search system, transferring information from the online library to Google Drive and image tagging accordingly.
  • Support the art team with occasional art research.
  • Assist with formatting artwork presentations and proofing texts.

Requirements:

  • Fluent in English.
  • Visual Arts background with professional experience in an arts organisation.
  • A willingness to learn and work as part of a team.
  • Computer literate (particularly with Mac OS, Google Workspace and Adobe Acrobat).
  • Proficient in Adobe CS Photoshop and InDesign.
