Job description:

We are looking for a pro-active and highly organised PA to act as key support to the Director, coordinating and assisting with day-to-day operations. The person in this role will be expected to anticipate both business and personal needs, and to work in a discrete and professional manner at all times.

The ideal candidate is well presented, articulate and will be happy to work autonomously, be extremely organised, self-motivated, and excel in working in a supportive role. Previous experience in a similar role is essential. French language is an advantage.

Responsibilities

  • Act as a gateway for all correspondence and communication with the director.
  • Diary management including internal and external meetings.
  • Manage all travel requirements (booking flights, airport transfers, holidays, visas, passport renewals etc.)
  • Drafting correspondence and provide seamless support in all director’s communication.
  • Provide full administrative support.
  • General bookkeeping, reconciling expenses, credit cards and liaising with accountants as required.
  • Update miscellaneous records on the database (gifts given, new contact details)
  • Organising in-house and off-site events, sending invitations, managing guests lists and rsvp’s.
  • Personal arrangements as required.
  • Organising couriers and small shipments, producing custom invoices.
  • Ordering office supplies.
  • Answering and streaming phone calls in a polite and courteous manner.
  • Running errands, miscellaneous online shopping.
  • Getting the director’s lunch.
  • Providing clients with refreshments whilst in meetings.
  • Booking restaurants, private rooms.
  • Occasionally assisting with photo shoots.
  • Managing Christmas cards production and mailing.

Person Specification

  • Experience with Microsoft office computer package / calendars / Zoom / Teams
  • Ability to learn specific software as required.
  • Experience using office equipment (Mac Computer / printers / scanners / TVs)
  • Strong administrative skills organised and methodical.
  • Fluent written and spoken English.
  • Positive ‘can do’ attitude.
  • Excellent Communication skills.
  • Organizational skills with an ability to think proactively, prioritise work and work without supervision.
  • Exercise discretion and confidentiality with sensitive information.
  • Attention to detail is essential.
